Roles & permissions

Control exactly what each teammate can see and do, using built-in roles or your own custom ones.

Every person in your workspace has a role, and that role decides what they can see and do — from the whole dispatch board down to a single button like "delete invoice." You can use the built-in roles as-is, or build your own from scratch.

The built-in roles

  • Owner — full access to everything, including billing and deleting the workspace.
  • Admin — nearly everything an Owner has, day-to-day.
  • Operation — runs dispatch, jobs, contracts, and stock movements, without finance/admin controls.
  • Accounts — invoices, transactions, and finance structure; not dispatch.
  • Engineer / Technician — the field roles; technicians work from the mobile app only.
  • Sales rep — sees their own leads and attributed contracts/jobs on the Tasks page, not the full dispatch or contracts view.
  • Viewer — read-only access, useful for someone who only needs to look things up.

Note — These are starting points. You can create as many custom roles as you like and assign an exact set of permissions to each one.

Assigning a role

Go to Organisation → Team, find the person, and change their role. It takes effect the next time their session refreshes.

Note — For technicians, having the Technician role isn't enough on its own — they also need field access granted on the same Team screen before they appear as assignable on the dispatch board.

Building a custom role

  1. 1

    Open the permission matrix

Go to Configuration → Roles and create a new role with a name (e.g. "Bookkeeper" or "Senior Technician").

  2. 2

Toggle what they can see and do

Permissions are grouped by area — CRM (leads/customers), jobs, contracts, finance, invoices, assets, inventory, attendance, leave, approvals, reports, and settings. Turn on exactly what this role needs.

  3. 3

    Assign it

Head to Team and assign your new role to whoever needs it.

Example: a finance-only bookkeeper

Locking down finance access

Create a custom role called "Bookkeeper" with read/write access to Transactions and Invoices only — no Dispatch, no Contracts, no Customer edit rights. Assign it to your part-time accountant. They can record payments and manage invoices without ever seeing (or accidentally editing) a job on the dispatch board.
