Getting started with Overden Field
Create your workspace, set up the basics, invite your team, and book your first job — everything you need for day one.
Overden Field is field service software for businesses that send people out to do recurring work — pest control, cleaning, HVAC, and similar route-based services. Everything in the app happens inside a workspace: one workspace is one business (or one branch), with its own customers, jobs, team, and billing.
This guide walks through the first hour with Overden Field: creating your workspace, setting up the handful of things every new account needs, inviting your team, and scheduling your first job.
1. Create your account and workspace
- 1
Sign up
Go to the signup page and create your account with your name, email, and a password. This creates your user login — it doesn't start a subscription by itself.
- 2
Create your workspace
Name your workspace (usually your business name) and set your country and currency. Your 14-day free trial starts the moment you create this workspace — no card required. Country/currency also decides your default tax name and rate (for example UAE → 5% VAT, India → 18% GST), which you can change later.
- 3
Land on your dashboard
You're dropped onto the office dashboard for your new, empty workspace. From here you'll set up the basics, then start adding customers and jobs.
2. Set up the basics
A few settings are worth doing before you dispatch your first job — they only take a few minutes and everything else builds on them.
- 1
Business profile
Configuration → Business profile. Add your business name, address, and contact details. These feed your quote and invoice PDFs later.
- 2
Service types
Configuration → Services. Add the kinds of visits you run (e.g. General Pest Control, Termite Treatment, Deep Clean, AC Service). Group them under departments — a department can have an optional daily capacity, which later warns dispatchers when a day is overbooked.
- 3
Payment categories & methods
Configuration → Payments. Set up how you categorize income/expenses and which payment methods you accept (cash, card, bank transfer). Every transaction needs one of each.
- 4
Turn on the modules you need
Configuration → Features. Leads, Attendance & Leave, and Assets (equipment/stock) are separate modules you can switch on or off. On the same screen you can also turn on an industry pack — Pest, Cleaning, or HVAC — which adjusts labels and unlocks pack-specific tools like refrigerant logs or service checklists.
3. Invite your team
Go to Organisation → Team to bring people in. You have two options:
- Email invite — enter their email and role; they get a link, set their own password, and join.
- Add directly — for technicians who might not check email reliably, create their account on the spot with a name, role, and a password you set (and optionally require them to change it on first login). You can copy the password to hand over in person.
Note — A technician also needs field access granted (part of the same Team screen) before they show up in the assignment list on the dispatch board.
4. Add your first customer and book a job
- 1
Add a customer
Go to Customers → Add customer. Fill in name, phone, and address — the address can be reused across every future job or contract for that customer.
- 2
Create a job
Go to Dispatch → Create work. Pick the customer, choose a service type, set a date and time, and assign a technician (or leave it unassigned for now).
- 3
The technician runs the visit
Your technician sees the job on their phone, marks arrival, adds notes/photos, and completes the job — optionally collecting payment on the spot.
- 4
Follow up in the office
Back in the office, check the dashboard or Dispatch board to see the completed visit, and collect payment or send an invoice if it wasn't already paid on-site.
Common questions
Do I need a credit card to start the trial?
No. Creating a workspace starts a 14-day trial with no card required. See the billing guide for what happens after the trial.
Can I run more than one business from one account?
Yes — create a second workspace. Each workspace has its own customers, team, and trial/subscription, and you switch between them from the workspace switcher.
