Leads & the sales pipeline

Capture enquiries, move them through a kanban pipeline, and convert them into paying customers.

Leads is your sales CRM: a kanban pipeline for tracking enquiries from first contact through to a won customer. It turns on with the Leads module (Configuration → Features) and picks up leads from phone enquiries you type in yourself, or automatically from inbound ad webhooks.

Setting up your pipeline

Before adding leads, set up your pipeline stages (Configuration → Pipelines) and your lead sources (Configuration → Lead sources) — a source (e.g. Google Ads, Referral, Walk-in) is required on every lead, so it's worth listing the ones you actually use.

Adding and working a lead

  1. 1

    Add a lead

Go to Leads → Add lead. Enter contact details, pick a source, and optionally assign a sales rep and a callback date.

  2. 2

    Move it through the pipeline

Drag the lead's card between stages on the kanban board as it progresses (contacted, quoted, negotiating, and so on).

  3. 3

    Log activity

Open the lead to add comments, callback notes, or attach documents — this builds a history anyone on the team can pick up.

  4. 4

    Win it

Mark the lead won, or accept a quote sent from it — either one can automatically convert the lead into a customer (a company record).

Inbound leads from ads

If you run Google Ads lead-form ads (or send leads from another tool via webhook), they land directly in your pipeline instead of needing manual entry — see Integrations & webhooks for setup.

Example: a Google Ads enquiry

From ad click to signed customer

A homeowner fills out a Google Ads lead form for termite treatment. It appears instantly in your "New" pipeline column with the source pre-filled as Google Ads. Your sales rep calls them, moves the card to "Contacted," sends a quote from inside the lead, and once the customer accepts it, the lead auto-converts into a customer and (if you chose to) a scheduled job is created straight from the accepted quote.
