1. Who we are
This Privacy Policy explains how Overden ("Overden," "we," "us," or "our") collects, uses, stores, and shares information when you visit our marketing website, request a trial, or use Overden Field, Overden Commerce, or related services (collectively, the "Services").
Overden provides cloud software for field service operations, inventory management, billing, and related business workflows. Each customer workspace is logically separated so your operational data is not mixed with other customers' data.

2. Information we collect
Account and profile information: When you sign up or request access, we collect details such as your name, work email, phone number, company name, team size, industry, and billing contact information.
Customer content: When you use the Services, you and your team may upload or create business records, including customer and vendor contacts, job and route data, quotes, invoices, inventory records, photos, signatures, notes, and payment-related metadata. You control what is stored in your workspace.
Usage and device information: We collect technical logs such as IP address, browser type, device identifiers, pages viewed, feature usage, error reports, and timestamps to operate, secure, and improve the Services.
Communications: If you email us, book a walkthrough, or contact support, we retain the content of those messages and our responses.
Payment information: Paid subscriptions are processed by our payment partners. We receive billing status and limited payment metadata (such as last four digits or invoice references), not full card numbers stored on our core application servers.
3. How we use information
We use collected information to provide and maintain the Services, authenticate users, provision workspaces, process subscriptions, send service notices, respond to support requests, and improve product reliability.
We may use aggregated or de-identified usage data to understand feature adoption, diagnose performance issues, and plan product improvements. We do not sell your personal information.
With your direction, we may send product onboarding messages, security alerts, or optional product updates. You can opt out of non-essential marketing emails at any time.
4. Legal bases and your choices
Where applicable law requires a legal basis, we process personal data to perform our contract with you, pursue legitimate interests in operating a secure SaaS platform, comply with law, or with your consent where required.
Depending on your location, you may have rights to access, correct, delete, restrict, or export personal data, and to object to certain processing. To exercise these rights, email hello@overden.com. We may need to verify your identity before fulfilling a request.
If you are an end customer of one of our business users (for example, a homeowner receiving a service report), please contact that business directly. We process such data on behalf of our customer and act as a service provider to them.
5. How we share information
We share information with infrastructure and subprocessors that help us host the Services, send email, process payments, monitor uptime, and provide customer support. These providers are bound by contractual obligations to protect data and use it only to deliver services to us.
We may disclose information if required by law, court order, or governmental request, or when we believe disclosure is necessary to protect rights, safety, fraud prevention, or the security of the Services.
If Overden is involved in a merger, acquisition, financing, or sale of assets, customer information may transfer as part of that transaction, subject to continued protection consistent with this policy.
We do not share customer workspace content with other customers. Integrations you enable (such as accounting or messaging tools) may exchange data according to your configuration and the third party's terms.
6. Data retention and portability
We retain account and workspace data for as long as your subscription is active or as needed to provide the Services. If you cancel, we provide a reasonable export window so you can download customer lists, job history, invoices, and other structured records.
After termination, we may retain limited backups for a defined period to meet legal, accounting, or disaster-recovery obligations, then delete or anonymize data in accordance with our retention schedule.
Business owners retain ownership of the operational records they create in Overden. Exports are available from workspace settings without proprietary lock-in formats for core business entities.
7. Security
We use administrative, technical, and organizational measures designed to protect data, including encrypted transport (TLS), access controls, role-based permissions, environment isolation, and regular backups.
No online service can guarantee absolute security. You are responsible for maintaining strong passwords, limiting admin access, and configuring roles appropriately for coordinators, technicians, and finance users.
If we become aware of a security incident affecting your data, we will notify affected customers as required by applicable law and work to remediate promptly.
8. International transfers
Overden may process and store information in countries other than where you are located, including facilities operated by our hosting providers. Where required, we implement appropriate safeguards for cross-border transfers.
Customers with operations in India, the UAE, and other regions remain responsible for ensuring their use of the Services complies with local regulations governing the industries they serve.
9. Cookies and analytics
Our marketing site may use cookies and similar technologies to remember preferences, measure traffic, and understand how visitors navigate pages. You can control cookies through browser settings; disabling cookies may affect certain site features.
Product analytics inside authenticated workspaces are used to improve reliability and usability. We do not use customer workspace content for unrelated advertising profiling.
10. Children
The Services are intended for business use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact hello@overden.com and we will take appropriate steps to delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will post the revised policy on this page and update the effective date. Continued use of the Services after changes become effective constitutes acceptance of the updated policy.
