Straight answers to the questions business owners ask before and after they sign up.

This isn’t marketing copy — every answer here describes how Overden Field actually behaves. If you’re looking for step-by-step instructions instead, switch to the Docs tab above.

Getting started & billing

What exactly is Overden Field?

Overden Field is software built for businesses that send technicians out to do recurring, route-based work — pest control, cleaning, and HVAC servicing are the main ones it's built around. It brings your sales pipeline, customer records, job scheduling, technician app, contracts, and invoicing into one system, so the office and the field team work off the same information instead of a mix of spreadsheets, WhatsApp, and paper.

Do I need a credit card to start a free trial?

No. Signing up creates your login, and creating your first workspace (your business account inside Overden Field) starts a 14-day free trial automatically — no card required.

How long is the free trial, and what happens when it ends?

The trial runs 14 days from the moment you create a workspace. If it ends without a paid plan attached, that workspace locks for everyone until an owner or admin adds a plan — nobody loses their data, but nobody can work in it until billing is sorted out. You can still reach the billing screen from the lock page to pay or upgrade.

Can I run more than one business, or separate branches, from one login?

Yes. Each business or branch is its own "workspace" — its own customers, jobs, team, and subscription. You can create as many as you need and switch between them from the workspace switcher without logging out. For example, if you run a pest control brand and a separate cleaning brand, you'd set each up as its own workspace so the two customer lists and teams never mix.

What happens if a subscription payment fails?

The workspace it belongs to locks for every member until it's resolved — you're redirected to a "billing locked" screen, but you (or another owner/admin) can still open the billing page from there to update payment and unlock it. If you belong to other workspaces that are paid up, you can switch to them and keep working while you sort the locked one out.

What happens if I add more technicians than my plan allows?

Every plan has a seat limit — active members plus anyone with a pending invite counts toward it. If you're at the limit, you can add extra seats for a small per-seat monthly fee rather than being forced onto the next plan up (this is how the Professional and Growth plans both work). The Scale plan instead lets an admin set an exact seat count for the business.

Does Overden Field only work for one country or currency?

No. When you create a workspace you set its country, and that decides your default currency and tax setup — for example, a UAE workspace defaults to 5% VAT, an India workspace to 18% GST — and you can adjust this later in Configuration → Business profile. For billing itself, your subscription checkout is automatically routed to the right payment provider based on where you're purchasing from.

Industries & fit

Is this only built for pest control companies?

No — pest control is where it started, but the core of the product (dispatch, contracts, invoicing, the technician app) works for any recurring, route-based service business. On top of that core, you can turn on "industry packs" for Pest, Cleaning, or HVAC, which adjust labels and add trade-specific tools.

What's actually different between the Pest, Cleaning, and HVAC industry packs?

Pest adds activity-level tracking on visits and bait-station-style checklists. Cleaning adds deep-clean checklist templates and cleaning-specific labels. HVAC is the most feature-heavy: it adds equipment identity fields (make, model, serial, refrigerant type), maintenance plans that generate preventive-maintenance jobs automatically, refrigerant logging, equipment certificates with expiry alerts, and contract SLA deadlines that flow onto jobs.

Can I turn on more than one industry pack at the same time?

Yes. If your business does more than one type of work — say pest control and HVAC servicing — you can enable both packs together in Configuration → Features, and each one only affects its own related screens.

Does it handle one-off jobs, or only recurring contracts?

Both. A job (visit) can be a stand-alone one-off booking, or it can be generated automatically from a recurring contract's schedule. You're not forced into a contract-only or job-only way of working.

Dispatch & scheduling

How do I get a job to the technician who's actually closest, not just whoever's free?

Open the job on Map view — clicking an unassigned job's marker opens a panel that suggests nearby technicians based on their location, so you can assign directly from there instead of guessing from an address.

What stops the office from double-booking a team on a busy day?

If a department has a daily capacity set, the scheduling calendar colors each day green, yellow, or red based on how booked it already is when you're picking a date. It's a soft warning, not a hard block — so you can still deliberately overbook a day if you need to, you just can't do it by accident.

Can one customer have more than one property or site?

Yes. A customer can have multiple saved addresses, each with its own premises type, and one marked as the default. When booking a job or contract for them, you pick from their saved addresses instead of retyping one each time — useful for a client with, say, a restaurant and a separate warehouse.

What happens if a technician needs to reschedule a job?

They can request a reschedule from the job. Depending on how your workspace is set up, that request may need an office reviewer to approve it before the new date takes effect — this is the same dual-control approval flow used for cancellations, so a schedule change doesn't slip through unnoticed.

Can I bring in jobs or contracts I already have in a spreadsheet?

Yes, there's an import tool on the dispatch board for both. For contracts specifically, it's built to read a typical "contract register" format — it can turn something like "24 TIMES" into a monthly cadence and "150+100+100+100" into four separate installments automatically, rather than needing the data pre-formatted into Overden Field's own structure first.

Contracts & recurring revenue

If I sign a customer up for a monthly contract, do I have to create every visit by hand?

No. When you create the contract, Overden Field generates the entire visit schedule and payment plan up front. Each visit (called an occurrence) becomes an actual job on the dispatch board when it's due — either you create that job yourself, or you turn on Auto Schedule so it's created automatically and unassigned, ready for a technician.

Can a contract be billed on a different schedule than how often the visits happen?

Yes. You choose a billing alignment when you set up the contract — for example, 12 monthly visits can still be billed as 4 quarterly installments rather than charging the customer after every single visit.

What happens when a contract is about to expire?

Your dashboard flags contracts expiring soon so you can reach out before they lapse. When you do renew one, it becomes a new linked term in a "renewal chain" rather than a disconnected new contract, so you keep a continuous history with that customer instead of starting from zero.

Is a "contract agreement" the same thing as a quote?

No. A quote is the pre-sale price you send before work is agreed — it can be accepted or rejected. A contract agreement is a separate, optional printed document for an already-signed contract: a formal-looking PDF, built from your own reusable template, that states the ongoing terms and is auto-filled with that contract's real details.

Invoicing, payments & tax

What happens if a technician finishes a job but the customer doesn't pay on the spot?

Overden Field still raises the invoice for the quoted amount automatically, so the money owed is tracked as a receivable from the moment the job's marked complete — nothing just disappears because payment wasn't collected there and then. The office can record that payment later, or send a technician back specifically to collect it.

How does tax (VAT, GST, etc.) get worked out on an invoice?

The default tax rate and name come from your workspace's business country — for example, UAE defaults to 5% VAT, India to 18% GST. On top of that, you choose how tax applies to each document: no tax, tax added on top of your price, or tax already included in your price. That choice decides what the customer sees on the PDF, not just the number in your ledger.

Can I collect an outstanding payment without creating a second, duplicate invoice?

Yes — open the unpaid or partially paid invoice and use "Send technician to collect." That books a visit whose only job is to collect money against that specific invoice; when it's completed, the payment is recorded straight onto the original invoice, so you never end up with two invoices for the same job.

What's the actual difference between a proforma invoice, a regular invoice, and a credit note?

A proforma invoice is a non-fiscal, pre-sale document — it never counts as a real receivable, and is typically used to request an advance payment or produce paperwork before delivery; you convert it into a real invoice once the customer's ready to pay. A regular invoice is the real billing document that counts toward what customers owe you. A credit note reduces an existing invoice's balance — for a return, a price correction, or a discount — instead of the old trick of reversing a payment, and once issued it's permanent (you issue a new one to fix a mistake rather than undoing it).

Can I make invoices look like my own branding instead of a generic template?

Yes. You choose between a few layout styles, and set your logo, letterhead, footer, watermark, and bank details once — that branding is then shared automatically across every quote and invoice you send.

A business customer wants one statement instead of ten separate invoices — can I do that?

Yes. Pick the company and a period (this month, last month, year-to-date, a custom range, or just everything unpaid) and download a single PDF statement listing every invoice in that range, rather than sending them one at a time.

The technician app & fieldwork

Does the technician app work if there's no signal on site?

Yes, this is built in rather than an edge case. Arrivals, notes, materials used, photos, and job completions are all saved on the phone first and sync automatically the moment it reconnects — a technician can complete an entire visit with zero signal and it'll catch up with the office as soon as they're back online.

Can a technician actually take payment on the spot, on their phone?

Yes. When they complete a job with a quoted amount, they can record what was collected — cash, card, or whatever methods your office has set up — and that automatically creates or updates the invoice and payment record, with no separate office step needed afterward.

How do I actually know a job was done properly, and not just marked complete?

Each visit can carry before/after photos, an optional service checklist specific to the job type, and a record of exactly what materials were used — all attached to that job's record. You can also send the customer a review link after completion if you want their side of it too.

Can technicians see how much stock they've got left in their van?

Yes — "My assets" in the technician app shows what's currently assigned to them, including van stock, with a "Record usage" option for logging what they've used outside of a specific job. On the office side, low-stock alerts fire when an item drops below its threshold, so restocking happens before someone turns up empty-handed.

Equipment, stock & purchasing

Can I track equipment I've actually installed at a customer's property, like an AC unit or a bait station?

Yes — these are tracked as "on-site units," separate from equipment you own. You register one with its make, model, and serial number when it's installed, optionally attach a maintenance plan (like a filter change every 3 months), and Overden Field generates the follow-up visit automatically when that's due.

What stops my stock numbers from going negative?

Stock has to be issued — moved from the warehouse to a technician or job — before it can be logged as used. You can't record usage of something that was never issued in the first place, so the system won't let a balance drop below zero.

Can I track what I've bought from suppliers, not just what I've sold to customers?

Yes, that's Purchasing. It's a proper procure-to-pay trail — purchase order, then goods receipt, then vendor bill, with an optional debit note if something needs to go back — using its own supplier list, separate from your customer list. Receiving goods against it updates your stock quantities and costs automatically.

Team, roles & security

Can I stop a specific employee from seeing things like company revenue?

Yes. Every person has a role, and a role is just a set of exact permissions. You can use the built-in roles as they are, or build a custom one — for example, a bookkeeper role that can see Invoices and Transactions but has no access to Dispatch or Contracts at all.

What stops someone from accidentally cancelling or deleting something important?

For the genuinely risky actions — cancelling or deleting a job, cancelling a contract, disposing of an asset, writing off stock — if the person doing it doesn't have direct rights, it becomes a request instead of happening immediately. It sits in an approvals queue until someone with the right permission signs off on it.

Is my business's data visible to other companies using Overden Field?

No. Each workspace's data — customers, jobs, invoices, team — is completely separate from every other workspace's. This is kept separate deliberately at the software level: switching between workspaces even forces a full page reload specifically so nothing from one workspace can end up mixed into another on screen.

Can I add a technician who doesn't reliably check email?

Yes — instead of the usual email invite, use "Add directly": you create their account on the spot with a name, role, and a password you set yourself (optionally forcing them to change it the first time they log in), and hand the login to them in person.

Reports & data

Can I get my data out into Excel?

Yes. The custom report builder covers Leads, Work, Sales, and Payments — you pick the columns, filters, and grouping you want, preview it, and download it as a ready-to-use Excel file. The dispatch board also has its own direct CSV/Excel export.

Is there a record of who changed what?

Yes — the Activity log tracks creations, updates, and cancellations across jobs, contracts, quotes, and payments, including who made the change and when. Editing an already-sent or paid invoice specifically asks for a reason, which is kept alongside that record too.

Can I see how well my sales reps or technicians are performing?

Yes — sales reps get an attribution view showing the contracts, jobs, and pending leads tied to their name, and technicians have utilization and activity views under Organisation showing their job history. Owners and admins can look at any individual; a sales rep only ever sees their own numbers.
